The HR Operations Coordinator reports to the HR Investigations Manager and plays an integral role in providing basic associate-related guidance and support to the HR Team. The HR Operations Coordinator is responsible for managing the daily flow of HR inquiries by assigning incoming tickets and cases to the appropriate resource, and supporting the HR team with general administrative tasks and basic data analysis from HR case management systems. This role serves as a link between the HR department and associates, ensuring efficient case management to the correct departments.

Principles Duties and Responsibilities 

• Manage and assign incoming HR cases from the HR case management systems to the appropriate HR resources – HR Investigators, HR Specialist/HR Manager, or HR Shared Services experts – Ensuring timely responses.
o Determine, collect and process the standard associate information and necessary documents during the intake process.
o Respond and resolve general HR inquiries.
o Evaluate complexity of cases, or allegations, to ensure proper assignments (i.e. ADA, harassment, discrimination, EEO, Open Door, and appeals) and process to the appropriate HR resources
• Collaborate with HR team members to optimize ticket handling processes and case management workflows.
• Provide administrative support for various HR initiatives and projects.
• Support the HR team in data analysis by extracting data insights from the HR case management systems to inform leadership.
• Assist in the preparation of materials for HR meetings and presentations.
• Navigate, understand, and interpret company policies and HR practices.
• Maintain confidentiality and security of all HR-related information.

Basic Qualifications

• Strong organizational skills and attention to detail
• Strong analytical and problem-solving skills
• Solid communication skills – verbal and written
• Knowledge of a variety of the HR concepts, practices, and procedures
• Understanding of employment-related local, state and federal laws and regulations governing employment (EEO, wage and hour, employee benefit, leave)
• Understands company polices and procedures
• Ability to handle confidential information with discretion, integrity and professionalism
• Hybrid based work model

Preferred Qualifications

• Minimum 1 year of experience in an HR support role.
• Experience with HR systems and ticketing platforms.
• Good analytical and reporting skills.

Experience

• 1 -3 years of experience in human resources related field, or
• Experience with case management systems, or
• Prior relevant business experience

Skills and Abilities 

• Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
• Effective communication skills, both written and verbal.
• Excellent interpersonal skills with a customer-focused approach to resolving queries and issues.
• Ability to handle confidential information with discretion.
• Strong administrative skills, including document management and maintaining HR records.
• Effective team player with the ability to work collaboratively with other departments.
• Proficient with Microsoft Office Suite, and HR case management software
• Ability to quickly learn the organization’s HRIS

Physical

• Ability to lift up to 25 lbs.
• Prolonged periods of sitting while performing computer work functions

Travel

• Limited travel
